Key definitions to know for your Job Description


Exempt 

vs 

Non-Exempt

 

Exempt employees paid on a monthly salary basis, not eligible for overtime.

Non-Exempt employees are paid on a biweekly, hourly basis, and eligible for overtime. These employees’ clock in and out using Kronos/Pioneer Time. Can be benefitted or non-benefitted.

Appointed 

vs 

Non-Appointed 

 

Appointed employees are benefitted, and the positions are included in a departments’ recurring budget. Can be exempt or non-exempt.

Non-appointed employees are not benefited and may not exceed 1000 hours in a 12-month period. Hours start January 1st. These employees are considered temporary and paid from non-recurring funds.

Part-time 

vs 

1000 hr.

 

A true part-time employee would be appointed, benefited, with a fractional FTE (e.g., .75) in a departments base budget.

A 1000 hr. employee is considered a temporary position, non-benefitted, and non-exempt.  

Position Summary

A brief summary of the position and the primary responsibilities.     It should not restate information in “Essential Functions” section.

 

Include this language- This position summary is not designed to capture all activities, duties, or responsibilities required for this position. Responsibilities may change or new ones may be assigned at any time.

Essential Functions

Essential functions define the responsibilities an employee will spend most of their time completing. Essential functions are critical to the position. List in order of importance. This should not be a comprehensive list of tasks, 4-7 total. 

 

There is a character limit of 4500 in PageUp, if this section exceeds the limit a Business Officer will contact you to edit.

Knowledge, Skills, and Abilities

KSA outlines the Knowledge, Skills, and Abilities used to perform the role. List 5-8 total.

 

Knowledge-theoretical, quantifiable-education or experience. e.g., knowledge of higher education systems

Skill- practical, quantifiable- learned or acquired through practice. e.g., MS office, PowerPoint presentations 

Ability-natural or innate, difficult to quantify- ability to perform skill. e.g., attention to detail, organization, critical thinking

Required Qualifications

(Education, Experience)

Required qualifications should relate to the Essential Functions. Without these required qualifications an employee could not do the role. Keeping required qualifications broad will create a wider, more inclusive applicant pool. 

e.g., “knowledge of enterprise resource planning systems” (broad), not “knowledge of banner” (narrow)

Preferred Qualifications

(Education, Experience)

Ideal, but not necessary to perform the position. Must relate to essential functions.
